Privacy policy

SaathiX is a brand operated by SaathiX Technologies, a company registered in India with GSTIN 09KAQPK7972F1ZS in the state of Uttar Pradesh (09). Our registered office is B 74, Ground Floor, Metro Station Rd, Near Sector 15, Sector 2, Noida, Uttar Pradesh 201301.

In this policy, "SaathiX", "we", "us" or "our" refers to SaathiX Technologies. "You" or "your" refers to the person who signs up for or uses the SaathiX ERP software, mobile app or website.

We collect only what is required to operate a modern billing and inventory service:

• Account information such as name, mobile number, email, business name, GSTIN and shop address.
• Business data you enter or generate: products, customers, vendors, invoices, purchase bills, ledgers, stock movements and payment records.
• Device and usage data like IP address, device type, browser, app version, crash reports and feature usage.
• Support content when you contact us by chat, email or phone.

We do not knowingly collect data from anyone under 18. SaathiX is a B2B product for registered businesses only.

• To operate billing, inventory, GST and reports inside your account.
• To send invoices and payment receipts to your customers on your instruction (WhatsApp, email, SMS).
• To secure your account: fraud detection, rate limiting and audit logs.
• To improve product quality using aggregate, de-identified metrics.
• To communicate updates, offers and policy changes.

We do not sell your business data. We do not train third party AI models on your invoices, ledgers or customer lists.

SaathiX includes optional AI features such as voice billing, product creation from a photo, and reorder suggestions. When you use them, the specific input you provide (voice clip, image, or text prompt) is sent to a trusted AI processor to compute a response. The response is returned to your account and stored as part of your business data.

AI providers act as processors on our behalf under a data processing agreement. Your invoices, ledgers and customer database are never used to train foundation models.

• Payment processors to collect subscription fees.
• Cloud infrastructure providers hosting our servers in India.
• Communication providers to deliver WhatsApp, SMS and email on your behalf.
• Chartered Accountants only when you explicitly connect one via the Find a CA feature.
• Law enforcement only when compelled by a valid Indian legal order.

All customer data is stored on servers located in India. Backups are encrypted and retained for 30 days on a rolling window for point-in-time restore.

While your subscription is active, we retain your data for as long as you use SaathiX. If you cancel, we retain your data for 90 days so you can re-activate, then permanently delete it, unless a longer retention is required by tax or accounting law (typically 8 years for GST related records).

• AES-256 encryption at rest and TLS 1.2+ in transit.
• Role based access with Owner, Manager, Cashier and Accountant roles.
• PIN, biometric and IP restrictions on sensitive actions.
• Daily automated backups and 30 day point in time restore.
• Security incident response with 72 hour notification to affected owners.

Under the Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable Indian law, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate personal data.
• Delete or export your business data any time.
• Withdraw consent for optional processing.
• Nominate a person to exercise your rights in case of incapacity.
• Complain to the Data Protection Board of India.

Write to privacy@saathix.com to exercise any of these rights. We respond within 30 days.
